RISD Spending Guidelines
Spending Guidelines 2023-2024
All staff and faculty should book travel through one of the following two services:
If you do not have an Egencia login, or if you have any questions about Egencia or the discounts they provide, please email Procurement Services.
Users can access the Egencia platform via browser or through the Egencia app (available for download from Google Play or the Apple App Store), which provides one place to book and manage all trip components. It also lets you create your own profile and store travel preferences, rewards member numbers and other information that will be applied each time you book travel.
Egencia also allows anyone who books travel on behalf of others to arrange guest travel. Please email Procurement Services if you need help setting yourself up in Egencia as a travel arranger.
Egencia benefits include:
- a familiar, easy-to-use online booking tool.
- business traveler tools that let you set personalized travel preferences.
- the free Engencia app, which is available for iPhone, iPad and Android device use and lets you easily find, book and make adjustments to your travel at any point in your itinerary.
- safety notifications.
- 24/7 assistance for travel changes, refunds, delays and cancellations.
The Travel Collaborative
The Travel Collaborative provides full, personalized service that is ideal for complex or foreign travel needs. RISD is a member of The Boston Consortium (TBC) Travel Program. This program offers RISD travel discounts on lodging and/or air, rail and rental car reservations through The Travel Collaborative, our preferred travel agency.
To take advantage of these discounts, RISD employees can reach out to one of the agency's travel agents:
Auto Rentals should be reserved via Egencia. RISD has access to contract pricing from Enterprise Rent-A-Car and National Car Rental. Enterprise is the largest car rental company in North America and now owns National Car Rental.
Campus travel portal for visitor travel (not paid for by RISD)
We currently partner with several area hotels for accommodating campus visitors. Please use our campus travel portal (which is run by the Campus Travel Management (CTM) company) to self-book rooms at these partnering establishments.
Booking through the portal provides campus visitors with the convenience of nearby lodging and discounted local hotel rates.
RISD Rides shuttle service
Procurement Services contracts with First Transit to provide RISD Rides, a free late-night shuttle service for RISD students, staff and faculty.
Charter bus rentals
Through a sister division, First Transit provides access to bus rentals for field trips or events through Peter Pan Bus Lines. Charter bus rental pricing is $115/hr (six-hour minimum). For booking and more information please contact:

All requests for a RISD credit card are subject to approval of associates' managers and the director of Procurement.
